Group Bookings

Link multiple sites together under one main contact for groups, events, or large parties.

Overview

Group bookings allow you to manage several campsite bookings as a single unit. Each site in the group is an individual booking linked by a shared group, with a single main contact responsible for the reservation. This is an admin-only feature and is not available through the public booking flow.

Creating a Group Booking

  1. Navigate to Bookings and click Create Group Booking.

  2. Fill in the group details:

    • Group Name β€” A label for the group (e.g. "Smith Family Reunion", "Scout Camp Weekend").

    • Main Contact β€” Search for and select an existing customer, or create a new one.

    • Dates β€” Select the check-in and check-out dates for the group.

    • Status β€” Set the initial booking status for all sites in the group.

  3. Add sites to the group:

    • Select sites from different camping areas/categories.

    • Each site shows its pricing and availability for the selected dates.

  4. Click Create Group Booking to save.

Each site added to the group becomes an individual booking.

Managing a Group Booking

Status Changes

Changing the status of the group booking cascades the change to all individual bookings within the group.

Invoicing

A single invoice covers the entire group rather than invoicing each site separately:

  1. From the group booking page, click Generate Invoice.

  2. A preview is displayed showing a per-site breakdown of charges.

  3. You can edit the total amount if needed.

  4. Click Create Invoice to confirm.

Confirmation Email

Confirmation emails are not sent automatically for group bookings. You can manually send a confirmation email to the main contact from the group booking page.

PDF Download

Click Download PDF on the group booking page to generate a summary PDF covering all sites, guests, and pricing.

Guest Manifest

Each individual booking within the group can have guest names assigned to it. On the group booking page, all guests across all sites are shown in an aggregated manifest view. See Guest Manifest for more details on managing guests.

Notifications

Individual bookings that are part of a group do not trigger the standard booking notification emails (confirmation, reminders, check-in instructions, etc.). These are suppressed to prevent the main contact from receiving duplicate emails for every site in the group. Use the manual confirmation email option on the group page instead.

Group Badge

Individual bookings that belong to a group display a group badge on:

  • The booking detail page.

  • The bookings list view.

Clicking the badge navigates to the group booking page.

Individual Booking PDFs

When downloading a PDF for an individual booking that is part of a group, the PDF includes a "Part of Group Booking: [name]" banner at the top.
