Exporting Data

Export your campground data as CSV files for reporting, backup, or migration purposes.

Accessing Data Export

Navigate to Settings > Data Import/Export from the campground settings menu and select the Export Data tab. Data import and export is only available to the account owner.

What You Can Export

  • Campsite Areas - Your campsite area/category data including prices, features, and blocked dates.

  • Campsites - All individual campsite records with site numbers, status, notes, and blocked dates.

  • Customers - Your full customer database including contact details.

  • Bookings - All booking records. You can optionally filter by date range.

  • Invoices - All customer invoices for bookings and leases, including each invoice's GST treatment, GST amount, and GST breakdown. Timestamps are in your park's local time with the timezone stated.

  • Invoice Tax Summary (GST) - The same invoices with each GST figure in its own column instead of a single breakdown field, and amounts in dollars. You choose a reporting basis and can filter to a date range.

  • Receipts - All payment and refund receipts, including each receipt's GST, the payment source (platform or Manual), and a Reversed At column for receipts that no longer count (for example a manual settlement later marked unpaid). Timestamps are in your park's local time with the timezone stated.

  • Leases - All lease records, including site assignments, tenants, and payment details.

  • Messages - All messages sent from your campground.

  • Message Recipients - All message recipients and their delivery status.

  • Customer Data Requests - All customer data access requests.

How to Export

  1. Select the Resource Type from the dropdown.

  2. For bookings and the invoice tax summary, you can optionally set a Date Range to filter the exported records. The tax summary also asks for a Reporting Basis.

  3. Click Export Data. You'll see the message Your Export Is Being Processed, You Will Receive An Email Once It Is Complete.

  4. The export is prepared in the background. When it's ready, you'll receive an email with a secure download link for the CSV file. This link stays valid for 24 hours.

Invoice Tax Summary

This export sets out the GST already recorded on your invoices, with each figure in its own column so a period can be totalled in a spreadsheet. Camper BMS reports these figures; it does not prepare or lodge any statement.

Reporting Basis

Select the basis your organisation reports on. Camper BMS does not determine which one applies to your organisation.

Date Range

The date range is read in your park's local timezone, so an invoice paid late in the evening stays in the period it falls in locally. Leaving it empty exports every invoice.

Columns to Know

  • Sales and GST by treatment - Standard, Concessional, Input Taxed, Out Of Scope, and Unclassified each have their own pair of columns. The sales columns always total the invoice amount.

  • GST Source - Stamped means the invoice carries its own recorded GST. Derived means the invoice predates that recording, so Camper BMS calculated the figure from your current GST-registration setting. None means no GST was recorded and the organisation is not registered.

  • GST Refunded - Summed from the refund receipts issued against the invoice. This column is empty where a refund receipt recorded no GST share, which happens on a partial refund of an invoice that mixes GST treatments.

  • Amount Refunded and Refunded At - A refund appears on the row of the invoice it relates to, so a refund processed in a later period than the sale still appears on the row for that sale.
