ActiveCampaign Integration

Connect your own ActiveCampaign account to Camper BMS to sync your consented guests into an ActiveCampaign list, using booking data as contact fields, tags and optional automation triggers - so you can market to your guests from ActiveCampaign while Camper BMS keeps the list populated and current.

What It Does

Camper BMS stays focused on bookings and operations - it isn't the marketing tool. The integration keeps your ActiveCampaign list up to date with your consented guests and what they're doing, so your campaigns and automations run on fresh booking data. Only guests who have opted in to marketing (captured at checkout) and have an email address are ever synced.

Where to Find It

Navigate to Marketing > ActiveCampaign from the main navigation. If you don't see Marketing in the sidebar, it may be hidden under Settings > Navigation, or your role may not include integration permissions.

Setting It Up

  1. Get your API credentials in ActiveCampaign - in ActiveCampaign, go to Settings > Developer and copy your API URL (it looks like https://youraccount.api-us1.com) and your API Key.

  2. Connect in Camper BMS - on the ActiveCampaign page, paste your API URL and API Key and click Connect ActiveCampaign.

  3. Choose the list - pick the ActiveCampaign list your consented guests should sync into and click Save list. Guests are added to the list as active subscribers, so they are subscribed straight away. Saving the list kicks off background setup: creating the custom fields and tags, registering the unsubscribe webhook, and seeding the event names.

  4. Backfill existing guests - click Sync existing guests to push everyone who has already consented into the list. From then on, new guests and any changes sync automatically.

  5. Enable booking events (optional) - in ActiveCampaign, go to Website > Site Tracking and turn event tracking on. Your Event Key is in the Event Tracking section, and your Account ID (actid) is the number in vgo('setAccount', '...') in the Tracking Code above it. Enter them in the Event tracking card on the ActiveCampaign page. You can do this when you connect or any time afterwards, and update or remove them later.

What Syncs to Each Contact

Every consented guest becomes an ActiveCampaign contact carrying booking data for personalisation and segmentation.

Standard fields: first name, last name, phone and email.

Custom fields (created for you automatically, each prefixed CAMPER_BMS_):

  • Park - the park they stayed at

  • Total Stays - completed stays

  • Last Stay and Next Stay - their most recent and upcoming stay dates

  • Site Type - their most relevant site type

  • Lifetime Spend - across all their paid invoices

Tags (managed automatically) mark where each guest is in their journey: booking-guest, previous-stay, repeat-guest, upcoming-booking, currently-staying, checked-in and checked-out, plus a site-type-<category> tag for each site type they've booked.

The integration only creates and updates its own fields and tags - your existing ActiveCampaign fields and tags are left as they are.

When It Syncs

  • Automatically, per guest - whenever a booking or their consent status changes (handled by background jobs).

  • In bulk - when you press Sync existing guests for the initial backfill.

  • Self-correcting - each contact's fields and tags refresh on the next booking change, so they stay accurate over time.

Booking Events

If you enabled event tracking during setup, booking lifecycle events flow into your ActiveCampaign automations as they happen:

  • Booking Reserved, Booking Pending, Booking Confirmed, Booking Cancelled

  • Checked In and Checked Out

  • Started Checkout, Placed Order, Cancelled Order and Refunded Order

Event tracking is a paid ActiveCampaign feature, so check your plan includes it before relying on these triggers.

Consent Works Both Ways

Only guests who opted in to marketing are ever synced, and consent stays honest in both directions:

  • When a guest unsubscribes inside ActiveCampaign, ActiveCampaign sends an unsubscribe notification to Camper BMS, which revokes that guest's marketing consent here straight away and records it. A nightly reconciliation backstops any account where that notification could not be registered.

  • Because only consented guests are ever synced, a guest who withdraws consent in Camper BMS stops syncing to ActiveCampaign.

Credentials and Access

ActiveCampaign connects with an API key rather than a scoped login, so a few notes on how Camper BMS handles it:

  • Your API URL and API Key come from ActiveCampaign under Settings > Developer, and you can regenerate the key there whenever you want to cut off access.

  • Camper BMS stores your key in a dedicated secrets store (AWS Parameter Store), separate from its main database.

  • The integration works within its own custom fields (prefixed CAMPER_BMS_), its own tags, the single list you choose, and - if you turn it on - event tracking. It doesn't alter your existing fields, tags, lists, campaigns or automations.

Disconnecting

Click Disconnect on the ActiveCampaign page. Camper BMS deletes the stored API key and removes the unsubscribe webhook, and syncing stops. Contacts already in your ActiveCampaign list are left untouched. To fully revoke access, also regenerate your API key in ActiveCampaign under Settings > Developer.
