Lease Balance

Important

The lease balance is a record your park keeps. Camper BMS is park management software, not a bank or financial institution: it does not hold the money, move it, or collect it. Tenants pay your park directly, and you update the balance to match.

The lease balance is an amount you record on each lease for arrears or credit, such as a balance brought across from your previous system or a payment received outside Camper BMS. It shows on the lease page and on account statements, alongside the lease's invoices.

Setting It When You Create a Lease

  1. On the new lease form, fill in Balance Brought Forward.

  2. Enter the Amount. For example: 3561.00 for $3,561.00 owing, or -120.00 for $120.00 in credit.

  3. Enter a Note. For example: Arrears from RentHQ as at 30 September 2026.

  4. Save the lease. The lease history records the balance and note.

Changing the Balance

  1. Open the lease and find the Account section.

  2. Click Adjust balance.

  3. Enter the New balance. The window shows how much it changes by. For example: entering 3621.00 on a balance of $5,421.00 is a change of -$1,800.00.

  4. Enter a Note. For example: EFT received 4 July, $1,800.

  5. Click Save balance.

Each change is listed under Balance changes with who made it, when, the amount before and after, and the note. The same details are added to the lease history, and each change is a line on the lease's account statement.

If someone else changed the balance while you had the window open, the save is refused. Reload the page and enter the new balance again.

Invoicing the Balance

To let a tenant pay the balance online, or by direct debit, turn it into an invoice.

  1. Open the lease and click Create invoice from balance in the Account section.

  2. The new invoice starts with the full balance and the description Balance brought forward. Lower the amount to invoice part of it. For example: invoice 500.00 of a $3,561.00 balance to collect it in instalments.

  3. Save the invoice. The invoiced amount comes off the lease balance in the same step, and the balance change is recorded with the invoice number.

If the amount is already an unpaid invoice in your accounting software, record the payment against that invoice in your accounting software instead of invoicing it here.

The invoice is then paid like any other lease invoice. Create invoice from balance shows when the balance is owing, and needs both Leases: Manage and Finance: Manage permission.

What the Account Section Shows

  • Lease balance: the amount you recorded.

  • Unpaid invoices: the lease's unpaid invoices, with the overdue amount.

  • Total outstanding: the lease balance plus unpaid invoices.

Good to Know

  • When a tenant pays part of the balance by EFT, cash or cheque, adjust the balance with a note.

  • Paying an invoice changes the invoice, not the lease balance.

  • The lease balance is not in the Daily Summary accounting export. Record balance payments in your accounts the way you do today. Invoices raised with Create invoice from balance are exported like any other invoice.

  • Bonds are lodged with your state's bond authority, so they go outside the lease balance.

  • A customer's page lists each lease they are on with its balance, next to their own unpaid invoices.

  • To bring many tenants across at once, use the Opening Balance (cents) and Opening Balance Note columns in the lease import.

  • The lease balance is included in the lease API and the lease export.

  • See Account Statements to send the balance to tenants.

  • Changing the balance needs Leases: Manage permission.
