Leases & Annuals Settings

Choose the words used for long-term and annual stays. Your customers see them on their invoices, account and utility statements, emails, payment pages and the customer portal. Your staff see them on the lease screens and in the menu.

Camper BMS bills each of these as a lease under your SaaS Agreement, regardless of the name you choose here. The Billing page shows your chosen name beside the lease fee, such as "$15.00 per lease (Occupation Agreements)".

Changing the Wording

  1. Go to Settings, open Leases & Annuals and select Terminology.

  2. Choose the options below.

  3. If you chose a name other than Lease or Tenant, tick the acknowledgement. See Acknowledging Other Names.

  4. Click Update Settings.

The How it reads box on the page shows the wording before you save. If you need terminology that isn't listed, email support@camperbms.com.

What the Agreement Is Called

The name for the arrangement itself. For example, an invoice reads "Invoice for occupation agreement #1042" and the customer portal shows an Occupation Agreements tab.

  • Lease

  • Occupation Agreement

  • Occupancy Agreement

  • Site Agreement

  • Residential Park Agreement

  • Long-stay Agreement

  • Caravan Park Agreement

  • Licence

  • Licence to Occupy

The options include the names used in Australian state and territory park legislation.

The menu shows the name in the plural, such as Site Agreements. A name longer than 15 characters shows as Agreements, and Licence to Occupy shows as Licences. Buttons use a short form in the same way, such as Create New Agreement or Create New Licence.

What the Person on It Is Called

The name for the people on the agreement. For example, the agreement document shows Occupant Details and a statement is addressed to the Occupant.

  • Tenant

  • Occupant

  • Resident

  • Site Tenant

  • Home Owner

  • Long-stay Tenant

  • Licensee

What the Recurring Charge Is Called

The name of the regular charge on invoices and the customer's agreement page. For example, an invoice line reads "Site Fees - Monthly". New agreements start with this choice, and each agreement can be changed on its own form.

  • Occupation Fees

  • Site Fees

  • Site Rent

  • Occupancy Fees

  • Rent

Acknowledging Other Names

Choosing a name other than Lease for the agreement, or other than Tenant for the person on it, needs the organisation owner to tick this acknowledgement before saving:

"I understand these names only change the words shown in Camper BMS. Each record kept here, whatever it is called, is a lease under the Camper BMS SaaS Agreement and is billed as a lease."

The page then shows who acknowledged it and when, such as "Acknowledged by Sam Smith on 18 October 2026". Once acknowledged, anyone who can manage settings can change the names without ticking it again. Until then, only the organisation owner can choose names other than Lease and Tenant.

Invoices Already Sent

Invoices and statements already issued keep the wording they were sent with. New invoices, statements and emails use your current choice. Marking an issued invoice paid or unpaid updates its PDF to your current choice.

During Setup

When you create a campground, the setup wizard asks whether you have annuals, long stays or leases. You need to answer before you can continue.

  • Yes - Choose this wording straight away. If you choose names other than Lease and Tenant, tick the acknowledgement shown below the options.

  • No, only short stays - Turns off Leases and Utilities, which you can turn on later under Settings.
