Staff, Groups & Permissions
Control what each member of your team can do, and which campgrounds they can do it in, using permission groups and campground access.
How Access Works
Staff access is made up of two separate things, and a person needs both before they can do anything:
Groups and permissions decide what a person can do (for example, manage bookings or view finance).
Campground access decides where they can do it (which of your campgrounds they can work in).
A staff member who is in a group but has no campground access cannot do anything yet, and neither can someone with campground access who is not in any group.
Finding the Staff Page
From the main navigation, open Organisation and choose Staff. This area is only available at the all-campgrounds level, not while you are inside a single campground.
The Staff page is visible to the account owner and to anyone who has been granted the Staff management permission.
The Account Owner
The account owner always has full access and cannot be limited by groups. On the staff list the owner is shown with an "Owner" badge and "Full access".
Some areas are reserved for the owner and can never be granted to a group:
Billing - subscription, plan changes, and payment method.
Organisation settings - the team and account settings area.
Data import and export - migrating data in and out.
Creating a Group
Groups bundle permissions together so you can reuse them. A typical setup is a group like "Front desk" or "Managers".
In the Groups & permissions panel, click New group.
Give the group a Name, and an optional Description of what it is for.
Use the permission grid to tick what the group can do.
Click Create group.
A new group starts with everything you are allowed to grant already ticked, except Staff management, which must always be turned on deliberately. Untick anything this group should not be able to do.
The Permission Grid
Each row is a feature and each column is an ability:
View lets the group see that area.
Manage lets the group make changes. Manage always includes View, so ticking Manage ticks View automatically.
Some features only offer Manage (for example Finance, Pricing, and Settings).
Use the checkbox in a column heading to select or clear that ability for every feature at once.
You can only grant abilities you hold yourself. Any feature you cannot grant appears as a Read only row, so you can still see the full picture of what a group can do without being able to give away more access than you have.
What You Can Control
The grantable features are:
Bookings - view and manage bookings and group bookings.
Leases - view and manage long-term leases.
Customers - view and manage customer records.
Finance - invoices, financial reports, and refunds.
Pricing - category, campsite, and dynamic pricing.
Discounts - create and manage discount codes.
Add-ons - manage bookable add-ons.
Messaging - view conversations and send messages to guests.
Surveys - view and manage guest surveys.
Campsites & Areas - manage campsites and campsite areas.
Ballots - run ballots (random draws) for busy periods.
Settings - edit campground settings and configuration.
Developer & Integrations - integrations, channel sync, webhooks, widgets, and API tokens.
Staff management - manage staff, groups, and campground access.
Inviting a Staff Member
In the Staff members panel, click Invite staff.
Enter the person's email address.
Choose the groups they should belong to. Groups control what they can do, so create a group first if you have none.
Choose their campground access.
Click Send invitation.
The member shows as Pending until they accept the invitation, after which they become Active.
Managing a Staff Member
For each active member, open the actions menu to:
Change groups - a person can belong to more than one group, and receives the combined permissions of all of them.
Set campground access - choose which campgrounds they can work in.
Remove - remove the member from your organisation. They lose all access immediately.
If you save a member with no groups, they keep their place in the team but cannot do anything until you add them to a group again. You will be asked to confirm this.
Campground Access
If your organisation has more than one campground, campground access lets you scope staff to specific locations. For example, a front desk worker can be given Manage bookings (through their group) but only access to the one campground they work at.
Remember the two-part rule: the group decides what a person can do, and campground access decides where. They need both for that location.
Editing or Deleting a Group
Select a group to edit its name, description, and permissions. Changes apply to everyone in that group straight away.
Deleting a group removes the permissions it granted from every member who was in it, so check who is affected first. Members remain in your organisation; they simply lose whatever that group allowed.
Leaving an Organisation
A member who is not the owner can leave the organisation from their own row in the staff list. Leaving removes their access to the organisation's campgrounds and data immediately.
